Mobile patrols · keyholding · alarm response

Every visit planned, done and proven.

PatrolApp runs your mobile patrol operation from one place. Control plans the night, officers follow a run sheet on their phone, and every arrival is time-stamped and located. Clients get the proof without anyone typing up a report.

What it does for you

Whether you run the control room or you’re choosing software for your company, here is the short version. The tour below shows every part of it.

If you manage patrols

Run the night, not the paperwork

  • Plan a week of locks, unlocks, VPIs, alarm checks and checkpoint tours in minutes. Standing schedules fill themselves 28 days ahead.
  • See overdue jobs, officers on site and vehicle defects the moment they happen.
  • Give officers step-by-step site instructions with photos, so nobody gets lost at the wrong gate.
  • Follow up every missed visit with a reason and an action. Repeat misses at a site stand out on their own.
  • Book a forgotten officer off from control, so their welfare checks stop.
If you’re buying software

Evidence your clients and auditors trust

  • Every visit carries an arrival time, a completion time, a location and the officer’s name. Clients see what happened, not what was planned.
  • One click produces a monthly attendance grid, client reports and an ACS evidence pack for your SIA assessment.
  • Runs in any modern phone browser and installs to the home screen. No app store, no per-device setup.
  • Role-based access for controllers, officers and view-only users, with a full record history on every job.
  • Built by Eboracum, an SIA Approved Contractor in York, around how a patrol team really works.
The tour · one shift, start to finish

Follow a night on patrol

Each stop shows the screen as it looks in the app, on desktop for control and on a phone for officers. Tap any screenshot to see it full size.

Stop 1 · Plan

Sites and schedules that plan themselves

Each site holds its address, client, keys, access notes, emergency contacts, documents and a standing schedule. Jobs appear on the planner for the next four weeks and stay topped up.

  • Week planner with copy day, copy week and bulk assign
  • Urgent one-off jobs go straight to the top of the run sheet
  • Shift notes from control that officers confirm they’ve read
What you gain: no more spreadsheets or WhatsApp lists. One plan everyone works from.
Stop 2 · Book on

A proper start to every shift

Officers book on with their vehicle and mileage and do a quick vehicle check. Any defect goes straight to control, and a vehicle taken off road can’t be booked out.

  • Six-point vehicle check, mileage out and in
  • Shift log for observations, welfare checks and handovers
  • A first-time guide walks new officers round the app
What you gain: a recorded vehicle check and a clear handover, every shift.
Stop 3 · Run sheet

The night in running order

The run sheet lists every job with its time, site, address and assigned officer. The next job is open and ready. A timeline view shows gaps and clashes across each officer’s night.

  • Colour stripe and icon for each job type
  • Route in Maps for all remaining stops
  • Day and night-shift views, and a big-button mode for gloves
What you gain: officers always know what’s next, and control can see when a night is overloaded.
Stop 4 · On site

Arrive, follow the steps, complete

One tap logs the arrival with time and location, and checks it against the site. Step-by-step instructions with photos open by themselves. The officer completes the checklist, adds notes and photos, and the visit report is done.

  • Assignment instructions: numbered steps with photos, written by managers
  • Checklists per job type, with problems flagged to control
  • Incident details: police reference, who was told, actions taken
  • Keys signed out and returned against each site
What you gain: new officers do the job right first time, and every visit has the same standard of record.
Stop 5 · Checkpoint tours

Scan the checkpoints, prove the patrol

Put QR codes or NFC tags around a site. Officers scan each one on their tour. Every scan records the time and the phone’s location, and a scan far from its checkpoint is flagged.

  • Routes in any order or a set order
  • Live view of tours in progress and checkpoints scanned today
  • Issues raised at a checkpoint go to control
What you gain: proof the whole site was covered, not just the front gate.
Stop 6 · Control

The whole operation on one screen

Control opens on Today: jobs done, overdue, on site and due in the next hour, officers on shift, keys out and vehicle defects. The live map shows each site in green, amber or red, and each officer’s last known position.

  • Needs action now, with a follow-up button on each job
  • Live map of sites and officers
  • Wall screen mode for a control room display
  • Officers on shift, with book-off from control
What you gain: problems found while there’s still time to fix them.

Street map simplified in this screenshot. The live app uses OpenStreetMap.

Stop 7 · Follow up

Nothing missed stays missed

Needs attention lists every overdue or missed visit, issue, checklist problem, location query and key out too long. Each one is followed up with a reason and an action, and sites missed more than once are flagged.

  • Reasons such as ran out of time, access problem or vehicle problem
  • Actions such as client informed or visit rebooked
  • Repeat misses over 30 days, with the main reason
What you gain: a clear answer when a client asks “what happened on Tuesday?”
Stop 8 · Prove it

Reports that write themselves

Everything recorded on the night becomes evidence. The monthly attendance grid shows every site against every day, with expected and done. Officer scorecards and supervisor spot checks back up your quality claims. The ACS evidence pack pulls it all into one dated PDF.

  • Monthly attendance grid as PDF or CSV
  • Officer scorecards: on time, misses, scans, spot checks
  • Fleet status, mileage and defects
  • ACS evidence pack for your SIA assessment
What you gain: month-end reporting in minutes, and an audit file that’s always ready.
Built for the field

Made for 3am, rain and gloves

Designed with officers who use it every night, not in a meeting room.

Works with no signal

Officers keep ticking off jobs in a basement or a dead spot. Updates and photos upload by themselves when signal returns.

Big buttons

One setting makes every button larger for night work and gloved hands. Clear colours show what’s overdue at a glance.

Welfare built in

Welfare checks run while an officer is on shift, and control can book off anyone who forgot, so alerts don’t run all night.

Questions

Before you ask

Do officers need to download an app?

No. They open a link, sign in and add it to their home screen. It then opens full screen like any other app, and updates arrive by themselves.

What happens when an officer has no signal?

They carry on. Arrivals, completions, notes and photos are saved on the phone and sent as soon as signal comes back, even if the app was closed.

Can clients see the reports?

Yes. Visit reports, client reports and the monthly attendance grid all download as PDFs ready to send. View-only access is available for clients who want to look for themselves.

Does it replace our checkpoint tour system?

It can. Checkpoint tours with QR codes or NFC tags are part of PatrolApp, and tours show up on the same run sheet and in the same reports.

How long does it take to set up?

Add your sites, keys and standing schedules, invite your team, and the planner fills itself. Book a demo and we’ll walk through it with your own sites.
